Therefore employees assigned may be required to perform additional job tasks required by the manager.In this role, you will conduct work of a confidential nature, necessitating exposure to sensitive information and interactions with contacts requiring considerable discretion, judgment, tact and diplomacyProvide administrative support for projects, including tracking progress, coordinating deadlines, and assisting with the preparation of project-related documentationServe as a point of contact between executives/team members and internal/external stakeholders, maintaining professional and positive relationshipsCoordinate domestic and complex international travel, including understanding and managing visa requirements, booking flights, accommodations, ground transportation, and processing expense reportsManage and maintain complex calendars for global CIO and VP IT & Digital Americas, including scheduling meetings, appointments, and travel arrangements, resolving conflicts, and ensuring efficient time managementSchedule and handle meeting logistics (could be of a complex nature)Organize and coordinate department wide activities, townhalls and communications (some with global participants)Prepare agendas, executive level presentations and manualsMaintain organized office systems, including filing (both physical and electronic), record-keeping, and inventory of office suppliesMaintain accurate organization charts, contact lists, format and proofread correspondence
