Facilities Administrator (Project Management)
Position Summary:
The Facility Administrator will establish and lead our facilities administration operations from the ground up. This role is pivotal to ensuring our facilities are maintained to the highest standards, optimized for efficiency, and compliant with all relevant regulations. The Facilities Administrator will oversee multiple sites primarily in Ohio, with occasional travel to other states locations as needed.
Essential Job Functions:
Oversee daily operations of facilities across multiple locations while not being directly onsite, ensuring safety, security, and compliance.
Develop and implement a facility system ticketing process, training and rolling it out to internal teams.
Plan and supervise the maintenance of building systems (e.g., HVAC, electrical, plumbing) and infrastructure keeping preventative maintenance in mind.
Coordinate and oversee repair activities, ensuring minimal disruption to operations.
Manage relationships with vendors and contractors, including negotiating contracts and ensuring quality work.
Maintain and organize vendor documents and records for easy access and compliance.
Allocate and optimize the use of space within facilities
Read and interpret floorplans and drawings; ability to create or modify site plan drawings is a plus.
Create and manage monthly budgets for facility operations, maintenance, and capital improvements.
Track payments, set financial goals, and develop reporting systems to monitor financial performance.
Ensure compliance with health, safety, and environmental regulations.
Develop and implement safety programs and emergency preparedness plans.
Oversee energy usage, implement energy-saving initiatives, and ensure efficient use of resources.
Conduct quarterly walkthroughs and inspections, utilizing comprehensive inspection lists to ensure facility standards are met.
Create and implement SOPs for all facility management processes to ensure consistency and efficiency.
Maintain accurate financial and non-financial records.
Generate regular reports on facility status, financial performance, and project progress.
Travel to various sites across Ohio and occasionally to other states to oversee facility operations and projects.
Comply with all state medical cannabis regulations

Qualifications:
Required:
Must be at least 21 years of age
Must have a high school diploma, or the equivalent
Associate or bachelors degree in business or related field or commensurate experience, preferably in the retail industry, ideal
Minimum two (2) years facility management experience in a retail or hospitality setting
Must be able to pass all background check requirements and obtain licensing as set forth by the Division of Cannabis Control, Department of Health and Senior Services, and Utah Department of Agriculture and Food, as required
Must be able to perform the essential functions of the job with or without an accommodation
Must be able to read, write, speak, and understand the English language
Preferred:
Proficiency in facility management software and tools.
Ability to create or modify site plan drawings using CAD software or similar tools.

Effective time management skills with the ability to prioritize tasks appropriately
Proficient computer skills, specifically with Microsoft Word, Excel, and PowerPoint
Smartsheet and Procore, or comparable project management tools

Ability to interact clearly and effectively, in both written and oral communication, with supervisor, colleagues, clients, vendors, etc.
