Job Summary
Provides guidance and consultative support to internal TriWest business owners or their supporting staff related to TriWest's contract-related policies and processes and supporting their engagement with Attorneys. Consultation includes answering questions about policies/procedures relating to contracts or contract adjacent processes (Ex. Finance/Purchasing, RFP, etc.) and assisting with navigation and compliance. Using analytical listening skills paired with an in-depth knowledge of the policies/practices of multiple departments, will give white-glove service to contract requesters for an ease-of-use experience while ensuring that the Legal Department receives all needed information to support their contract request. With a focus on continuous improvement for the department, identify evolving opportunities to enhance the contract intake process to enhance requester experience and departmental efficiencies.
Education & Experience
Required:
• High School Diploma or GED
• Exceptional written and verbal communication skills, with the ability to collaborate effectively with stakeholders at all levels
• Experience managing, interpreting, and/or explaining policies, regulations or processes in a professional environment
• Experience routinely using MS Word, Excel, and Office programs
• 5+ years of professional work experience regularly interfacing with internal or external clients
• Experience in serving as an expert or Subject Matter Expert (SME)
• Experience organizing and facilitating meetings
Preferred:
• Project Coordination or Project Management experience
• Legal Operations experience
• Professional experience in tracking, handling or referencing a variety of complex commercial contracts.
• Experience writing instructional or procedural, or similar, company documents
• Experience actively working in a Contract Management System (CMS), Contact Relationship Management (CRM), or similar system
• Experience in process improvement and/or process flow documentation
• Experience reviewing, editing and/or managing contracts is highly preferred
Key Responsibilities
• Serves as the main point of contact in the Legal Department for TriWest staff wanting to request a contract or ask questions about contract related processes.
• Provides white-glove service guiding staff and consultants through the full contracting lifecycle, and using knowledge of department policies, problem solving, and proactively asking questions to SME inside/outside the Legal department to help guide the requesters back on track when needed.
• Maintains expert knowledge of all TriWest policies relating to purchasing and contracting processes and use independent judgment and discretion to provide guidance to internal clients to assist with understanding and navigating processes.
• Offer clear proactive communication related to relevant TriWest processes, policies and procedures via phone, email, instant messaging and potentially in-person interactions with TriWest staff and consultants.
• Become the departmental expert on the Contract Intake process, including Contract Management System (CMS) contract record entries, department processes, workflows, etc.
• Determines appropriate course of action, or pathway for each request based on company policy, priorities, and department needs.
• Initiates and participates in meetings with stakeholders to work through contract related questions/issues
• Demonstrates helpful, approachable and friendly interactions with all TriWest staff whether their solution is within or external to the Legal Department.
• Regularly attend meetings for ePMO and/or departments/projects to have an ear into upcoming contract work that will need to be initiated and reinforce Legal department policies and priorities.
• Help to identify and implement new opportunities in process improvement for TriWest Business Owners and/or Attorneys.
• Assists in the continuous improvement of policies and practices relating to the full contract lifecycle
• Assists in maintaining procedures relating to managing company contracts.
• Assist in monitoring the current contract workload of all attorneys and building future workload expectations based on contract consultation feedback, discussions with those not yet ready to request a contract, meetings of other departments, etc.
• Plans and coordinates projects, and prepares related management and statistical reports.
• Performs administrative support, which may include coordinating meetings, preparing meeting minutes, updating department documents, and other administrative duties as assigned.
• Must be able to work independently.
• Provides administrative back-up support for paralegals and non-attorney staff.
• Performs other duties as necessary.
• Regular and reliable attendance is required.

Technical Skills: Proficient with Microsoft Word, Excel, and Outlook. Experience with contract management systems/databases (familiarity with Agiloft is a plus).

Working Conditions:
• Availability to work non-regular hours as necessary
• Does not require fully on-site position
• May be in office, hybrid or fully remote
• Must provide AZ business day hours availability
• Extensive computer work with prolonged periods of sitting
