ORGANIZATIONAL SUMMARY:
The University Controller's Office, led by the Associate Vice President/Controller, is primarily responsible for safeguarding university wide institutional resources and provides accounting, analytical and operational financial support for the instructional, research and service missions of USF, while ensuring compliance with all Federal, State, and regulatory financial guidelines. The UCO consists of Accounting and Reporting Services (General Accounting, Financial Reporting, Research Cash Management, Asset Management, and Construction Accounting); Student Financial Services (Cashier's Office, Student Accounting & Customer Service, and Accounts Receivable); and the Office of Budget and Financial Analysis.
POSITION SUMMARY:
Primary responsibilities include upload journal entries into the FAST system, customer maintenance and invoice processing for non-student, non-sponsored award A/R invoicing, upload wires into the banking system, request and allocation of University abandoned property, monthly calculation of sales tax payable, validation of financial information in Finance Mart, and general ledger account review and reconciliation.
RESPONSIBILITIES:
Upload journal entries into the FAST financial system after reviewing the entries for completeness and appropriateness. Also involves managing these entries within an email. Requires a basic understanding of journal entries and fund accounting.
Initiate and upload wires into banking software application. Requires are view of Supporting documentation submitted for the wires. Also includes dealing with foreign currency conversions for international wires and preparing journal entries to record the currency conversion.
Reconcile general ledger for balance sheet accounts at the University system IeveI on a monthly basis including but not limited to the Gift Card account, the Unidentified Checks account, and the Electronic Fund Transfer accounts. Assist Lead Staff Accountant and Assistant Controller with reconciliation of the PCard\SO reimbursement account. Follow up on and resolve outstanding items with various departmental personnel across all campuses and regional institutions. Coordinate the confirmation of these balances for year end.
Process monthly request for payment of abandoned property on behalf of University system and Direct Support Organizations. Abandoned property may be identified and requested from several states with the primary origin being the State of Florida. Coordinate a location of abandoned property within University accounting infrastructure upon receipt from sender.
Review requests to setup or update non-student A/R non-sponsored award customer information and input to PeopleSoft Accounts Receivable/Billing module in financial system. Print and distribute invoices for all non-student non-sponsored award invoicing for the University. Respond to questions from University community regarding non-student non-sponsored award A/R.
Perform monthly and month end tasks such as determining sales tax collected by the University and then prepare documentation to remit these funds to the state. Review and provide in dependent verification of the completeness and accuracy of financial information stored in Finance Mart with that in the General Ledger after the monthly closing process.
Other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a Bachelor's degree in Accounting and one year of related experience, or a Master's degree in Accounting or Business Administration (with appropriate Accounting preparation and coursework).
FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
6 years of directly relevant experience may be substituted for master's degree.
PREFERRED:
Prefer Master's degree and 3 years of business experience or combination of education and experience to total 7 years.
