*Senior Program Coordinator - Energy Programs (Project Management)

The College of Professional and Continuing Studies is seeking a Senior Program Coordinator for our Energy Education Programs.  The Senior Program Coordinator is a key driver in managing and implementing four niche energy-related programs, all of which have been at the University for 70+ years, which include: Laurance Reid Gas Conditioning Conference, Gas Compressor Short Course, Corrosion Control Course, and Blowout Prevention School. This role is responsible for the strategic planning, execution, and ongoing management of these energy education programs, ensuring high-quality learning experiences for participants. The ideal candidate is a highly organized, and collaborative individual with a proven track record in program management and the ability to effectively manage multiple projects simultaneously. 

Responsibilities for this position will include the following:

• Oversees the administrative activities of a designated program or programs.
• Responsible for daily program operations including staff supervision, program evaluations, and developing long-range plans.
• Collects and analyzes data and prepares reports.
• Ensures compliance with program regulations.
• Plans and coordinates program events.
• Develops and administers budgets for assigned projects and programs.
• Negotiates and administers grants and contracts.
• Plans and oversees project management.
• Develops policies and procedures.
• Program Strategy & Development - Oversee the lifecycle of four niche energy education programs, from conceptualization and planning to implementation and evaluation. This includes working with industry advisory boards and organizations and identifying emerging trends in energy education and developing innovative program offerings.
• Logistics & Operations - Manage logistical aspects of in-person programs and conferences, including venue selection and contracting, food and beverage catering, registration, coordinating with facilities, instructors, and support staff, and ensuring seamless on-site logistics and operations, including occasional travel.
• Stakeholder Engagement - Cultivate and maintain strong relationships with key stakeholders, including participants, instructors, advisory boards, sponsors, and community partners. Facilitate meetings and communication with three separate advisory boards, incorporating their expertise and guidance into program development.
• Marketing Programs - Develop and execute marketing strategies to promote energy education programs. This includes creating materials for in-person events, website content, social media engagement, and other outreach initiatives.
• Sponsorship & Scholarship Development - Pursue and secure sponsorships and funding opportunities to support program growth and accessibility. Manage the scholarship application and selection process.
• Budget Management - Develop and manage program budgets, ensuring cost-effectiveness and efficient resource allocation.
• Participant Support & Advising - Provide guidance and support to current and prospective program participants, addressing their questions and insuring a positive learning experience.
• Evaluation & Reporting - Monitor program effectiveness through data collection and analysis. Prepare regular reports on program performance and identify areas for improvement.
• Performs related duties as assigned or as required to successfully fulfill functions of the position.

Required Education: Bachelor's degree, AND: 

• 48 months of related experience.

Equivalent Substitution: Will accept 48 months of experience in lieu of a Bachelor's degree to equal 96 months of related experience.

• Proficient in Microsoft programs including Outlook, Word, and Excel
• Composition and proofreading skills

Advertised Physical Requirements:

• Ability to sit for extended periods of time doing work on a computer and via the telephone.  
• Ability to engage in repetitive motions / manual dexterity
• Communicate effectively via oral communication. 
• Ability to see and hear.
• Standard office environment with frequent exposure to pressure caused by deadlines and busy periods. 
• May be required to travel overnight. 
• Ability to work effectively with a wide range of constituencies.
• Requires contact with other departments and university officials.

Departmental Preferences:

• Experience in fundraising, grant applications, or sponsorship development.
• Knowledge of university systems, e.g. Qualtrics, PeopleSoft, Concur and CMS.
• Experience with marketing applications and social media - examples include but not limited to LinkedIn, Constant Contact, Canva, etc.
