Administrative Assistant (Manufacturing)



The following duties are normal for this position. The incumbent may perform some or all of these duties however; it is not an exclusive or all-inclusive list. Other duties may be assigned.
  • Prepares correspondence, reports, memos, presentations, budgeting materials, spreadsheets
  • Prepares and distributes various reports within specified timelines
  • Maintains confidentiality and exercises discretion in handling sensitive information including personnel files and employee information
  • Screens mail as required; responds to information requests, provides necessary follow-up, and/or forward to appropriate party
  • Serves as receptionist, including administering visitor registration and safety protocols as applicable and directs phone calls via the switchboard
  • Schedules and coordinates meetings for various stakeholders as requested; manages attendee list and agenda and/or catering arrangements
  • Processes purchases as required and code invoices as appropriate
  • Organizes meetings/seminars both locally and off-site including coordinating with vendors and managing timelines

Education & Experience

  • High School Diploma or Equivalent
  • Minimum of 2 years of relevant experience required

Knowledge, Skills & Abilities

  • Knowledge of and ability to manage the major responsibilities, accountabilities, and organization of the function or department
  • Knowledge of processes, tools and services for managing the acquisition, maintenance and dissemination of physical and electronic information
  • Ability to carry out ongoing office administration tasks effectively and efficiently in support of local and remote teams
  • Knowledge of and ability to use office support tools available at the desktop (e.g., Microsoft office, especially Teams, Word, PowerPoint and Excel)
  • Knowledge of and ability to use personal computers or workstations

Physical Requirements & Work Environment

  • Primarily works in an office environment with occasional time spent in a production and/or warehouse setting
  • Frequent lifting up to 25 lbs., occasional lifting up to 50 lbs.
  • Frequent standing/walking may be required
